Policies & Terms

Haller Studios LLC ("HSL | 4:6") is committed to providing every client with a professional, transparent, and consistent experience. The following policies govern all sessions, bookings, and services rendered by Haller Studios LLC, and are incorporated by reference into every signed Photography & Creative Services Agreement. Clients with questions regarding any policy are encouraged to contact Haller Studios LLC directly prior to booking.

Booking & Payment

A non-refundable deposit of 25% of the total package price is required to confirm and secure a session date. No date will be held without a paid deposit.

The remaining balance is due in full on or before the date of the session. Failure to remit the remaining balance may result in cancellation of the session and forfeiture of the deposit.

Accepted payment methods will be communicated at the time of booking. All fees, including deposits and additional service fees, are non-negotiable unless agreed upon in writing by Haller Studios LLC. Deposit and balance amounts are reflected on each client's individual invoice.

Cancellation & Rescheduling

Cancellation by Client. Clients must notify Haller Studios LLC of any cancellation no less than fourteen (14) days prior to the scheduled session date. A cancellation fee of $165.00 will be charged for all cancellations, regardless of timing, in addition to and separate from the non-refundable deposit. Clients who fail to provide the required 14-day notice will be charged an additional late notice fee of $82.50, for a total cancellation fee of $247.50, in addition to forfeiture of the deposit. These policies exist to protect the time, scheduling commitments, and operational integrity of Haller Studios LLC and its clients.

Rescheduling. Clients may reschedule a session up to three (3) times. Each reschedule is subject to a fee of $108.75, due prior to confirmation of the new session date. After three rescheduled sessions, Haller Studios LLC reserves the right to cancel the booking entirely; the non-refundable deposit will be forfeited and all applicable cancellation fees will apply. Rescheduling requests must be submitted in writing (email or text) and are subject to availability.

Cancellation by Haller Studios LLC. In the unlikely event that Haller Studios LLC must cancel due to circumstances beyond its control (illness, emergency, equipment failure, severe weather, or other force majeure events), the client will receive a full refund of any payments made, including the deposit, or the option to reschedule at no additional charge.

Image Delivery & Turnaround Time

All edited and finalized images are delivered via a private, password-protected digital client portal (Pixieset). Gallery links are sent to the email address on file.

Haller Studios LLC requires a minimum of two (2) weeks and a maximum of four (4) weeks from the date of the session for editing, processing, and delivery of the final gallery. All images are delivered in high resolution, in formats compatible with standard devices and platforms (JPEG/digital formats), optimized for both digital viewing and printing. Rush delivery may be accommodated at the sole discretion of Haller Studios LLC and is subject to applicable rush fees outlined in the relevant service package.

Client galleries remain accessible on the portal for seven (7) days from the date of delivery. Haller Studios LLC is not responsible for images that are not downloaded before gallery expiration, and clients are strongly encouraged to download and back up their images promptly upon receipt. Clients who wish to retain ongoing access to their gallery may request Lifetime Gallery Access; pricing varies by package.

All photographs and video content produced by Haller Studios LLC are the intellectual property of Haller Studios LLC. Copyright is retained by Haller Studios LLC upon creation of all images and final products, regardless of service type.

Upon full payment of all fees, clients are granted a non-exclusive, non-transferable personal use license for their delivered images. Personal use includes printing for personal enjoyment and sharing on personal social media platforms, provided that proper credit is given to Haller Studios LLC in all instances. All public postings, shares, or displays of images produced by Haller Studios LLC must include a visible credit to @HallerStudiosLLC or Haller Studios LLC; failure to credit constitutes a violation of the governing Agreement.

No client, model, or third party is permitted to alter, edit, apply filters, crop (beyond standard social media formatting), retouch, or otherwise modify any images or final products delivered by Haller Studios LLC in any form.

Clients who have not purchased full usage rights do not acquire the right to sell, license, sublicense, or use images for commercial purposes without a separate written commercial licensing agreement with Haller Studios LLC. Full usage rights may be made available upon request at the sole discretion of Haller Studios LLC; full rights, when granted, replace the standard personal use license in its entirety. Any misrepresentation, defamation, or unauthorized use of images, or depiction of individuals in a false or harmful light, is strictly prohibited and may result in legal action.

By engaging Haller Studios LLC for services, clients grant limited permission for delivered images to be used for portfolio display, website use, social media promotion, and marketing materials, subject to the client's right to opt out in writing prior to or at the time of booking. Clients engaged for modeling portrait sessions will be provided a separate Modeling Contract governing specific usage rights, licensing terms, and permissions, to be executed prior to the session.

Travel Policy

A standard travel fee of $100.00 applies to all sessions and services within the Columbus, Ohio area and surrounding local regions, included in or added to the total package price at booking.

For services outside the State of Ohio, travel costs are not fixed and are determined on a case-by-case basis, which may include round-trip airfare or ground transportation, hotel or housing accommodations, rental vehicles or local transportation, meals and per diem expenses, and any other travel-related costs necessary to complete the project. Out-of-state clients must contact Haller Studios LLC directly to discuss project scope, location, and timeline; a customized Travel & Services Quote will be provided in writing prior to booking confirmation, and no out-of-state booking is confirmed without a signed quote and required deposit. Travel fees are non-refundable once travel arrangements have been made or purchased.

Late Arrival Policy

Haller Studios LLC values the time of all clients and operates on a strict schedule. Sessions begin at the confirmed appointment time regardless of client arrival time.

A late arrival fee of $135.00 applies to any client who arrives fifteen (15) or more minutes after the scheduled session start time, with an additional accruing fee of $27.50 per 30 minutes of lateness beyond the initial 15-minute threshold. The session will end at the originally scheduled conclusion time regardless of arrival time; late arrival does not entitle the client to additional shooting time, and no refunds or credits will be issued for time lost due to client tardiness.

Outdoor & Weather Policy

Haller Studios LLC monitors weather conditions for all outdoor sessions and reserves the right to reschedule any session deemed unsafe or otherwise unsuitable due to severe weather conditions, including but not limited to lightning, heavy rain, dangerous wind, or extreme temperatures. When rescheduling is initiated by Haller Studios LLC due to weather, no rescheduling fee is charged and the session will be rescheduled at a mutually agreed date at no additional cost.

If a client chooses to reschedule an outdoor session due to personal preference related to weather, the standard rescheduling fee of $108.75 applies and counts toward the client's three (3) permitted reschedules. Haller Studios LLC is not responsible for natural lighting conditions, environmental factors, or other uncontrollable outdoor elements that may affect final images.

Liability & Limitation of Liability

Haller Studios LLC performs all services with professional care and skill. In the event of equipment failure, accident, illness, or other circumstances beyond the control of Haller Studios LLC that prevent partial or full completion of services, liability is limited to a refund of monies paid for services not rendered. Haller Studios LLC is not liable for any indirect, incidental, or consequential damages arising from services rendered or not rendered.

Clients agree to release Haller Studios LLC, its owner, and its representatives from liability for any personal injury, property damage, or loss occurring during a session, except in cases of gross negligence or willful misconduct by Haller Studios LLC.

Governing Law & Dispute Resolution

These policies and all related agreements are governed by and construed in accordance with the laws of the State of Ohio. Any disputes shall first be addressed through good-faith negotiation between the parties; if a resolution cannot be reached, disputes shall be submitted to mediation or binding arbitration in Franklin County, Ohio, before any legal action is initiated. In the event of a breach, the prevailing party may be entitled to recover reasonable legal fees and costs.

Amendments

Haller Studios LLC reserves the right to update these policies at any time. Clients will be notified of any material changes. These policies, together with the signed Photography & Creative Services Agreement, constitute the entire understanding between the parties with respect to the services described and supersede all prior discussions, representations, or agreements. If any provision is found to be unenforceable, the remaining provisions shall remain in full force and effect.
